Job Title: Executive Assistant to the CEO

Pay: $140-150k, depending on experience
Our client, a growing tech company, is seeking an EA to the CEO. As the Executive Assistant to the CEO, you will play a critical role in ensuring the smooth operation of the executive office. This position requires a highly organized, proactive, and detail-oriented professional who can manage a dynamic range of responsibilities in a fast-paced environment. The ideal candidate will act as a trusted partner to the CEO, managing day-to-day operations, facilitating strategic initiatives, and acting as a liaison between the CEO and key internal and external stakeholders.
Key Responsibilities:


  • Administrative Support: Manage the CEO's calendar, coordinate meetings, and schedule appointments while ensuring efficient time management. Anticipate the CEO's needs and make adjustments as necessary.
  • Communication Management: Handle all forms of communication, including emails, phone calls, and written correspondence on behalf of the CEO. Draft emails, presentations, and other documentation as needed.
  • Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and follow-up notes. Attend meetings with the CEO, take minutes, and track actionable items to ensure timely completion.
  • Project Management: Oversee special projects from inception to completion, ensuring they align with the CEO's priorities and company objectives. Coordinate cross-functional teams as required.
  • Travel Coordination: Plan and organize complex domestic and international travel itineraries, including flights, accommodations, ground transportation, and meeting logistics.
  • Event Planning: Plan and execute internal and external events on behalf of the CEO, including leadership offsites, board meetings, investor meetings, and speaking engagements.
  • Stakeholder Liaison: Serve as the primary point of contact between the CEO and internal/external stakeholders, including board members, investors, clients, and employees. Maintain relationships with key partners and ensure smooth communication.
  • Confidentiality and Discretion: Handle highly sensitive and confidential information with the utmost discretion and professionalism.
  • Research and Reporting: Conduct research on various topics, including industry trends, market insights, and business opportunities. Prepare reports and presentations for executive reviews.
  • Team Support: Provide occasional administrative support to the executive leadership team and collaborate with other assistants and departments as needed.

    Qualifications:

    • Bachelor's degree in Business Administration, Communications, or related field (preferred but not required).
    • 7+ years of experience in a similar role supporting C-level executives, ideally within the tech industry.
    • Exceptional organizational skills and the ability to prioritize tasks in a fast-paced, high-pressure environment.
    • Strong written and verbal communication skills.
    • Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
    • Experience with travel coordination and event planning.
    • Strong attention to detail and ability to anticipate needs.
    • Ability to handle confidential information with discretion and professionalism.
    • Flexibility and willingness to handle after-hours requests as needed.
